Welcome to the Panpacific University Online Counseling Appointment System. These Terms of Service ("Terms") govern your use of our counseling appointment platform. By accessing or using this system, you agree to be bound by these Terms.
1. Acceptance of Terms
By registering for and using the Online Counseling Appointment System, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree to these Terms, you may not use the system.
2. Eligibility and Account Registration
2.1 Eligibility
- You must be a currently enrolled student at Panpacific University
- You must be at least 18 years old or have parental consent
- You must use your official university email address
- You must provide accurate and complete information
2.2 Account Responsibilities
- You are responsible for maintaining the confidentiality of your password
- You are responsible for all activities under your account
- You must notify us immediately of any unauthorized access
- You may not share your account with others
- You may not create multiple accounts
2.3 Account Termination
We reserve the right to suspend or terminate your account if you:
- Violate these Terms of Service
- Provide false or misleading information
- Engage in abusive or inappropriate behavior
- Are no longer enrolled at the university
3. Use of Services
3.1 Permitted Use
You may use this system to:
- Schedule counseling appointments with university counselors
- Submit anonymous queries through the Safe Space feature
- View your appointment history and upcoming sessions
- Manage your profile and account settings
- Receive appointment reminders and confirmations
3.2 Prohibited Use
You agree NOT to:
- Use the system for any illegal or unauthorized purpose
- Impersonate another person or provide false information
- Attempt to gain unauthorized access to the system
- Upload malicious code, viruses, or harmful content
- Harass, abuse, or threaten counselors or staff
- Use automated systems or bots to access the system
- Attempt to reverse engineer or extract source code
- Book appointments with no intention of attending
- Share confidential information from counseling sessions
4. Appointment Policies
4.1 Booking Appointments
- Appointments must be booked at least 24 hours in advance
- You may have only one pending appointment at a time
- Appointments are subject to counselor availability
- The university reserves the right to approve or decline appointment requests
4.2 Cancellation Policy
- You may cancel or reschedule appointments up to 24 hours in advance
- Late cancellations (less than 24 hours) may limit future booking privileges
- Repeated no-shows may result in temporary suspension from the system
- Emergency cancellations should be communicated directly to the Guidance Center
4.3 Attendance
- You are expected to attend all confirmed appointments
- Arrive on time for your scheduled session
- If you cannot attend, cancel as soon as possible
- Three consecutive no-shows may result in account suspension
5. Counseling Services
Important Notice
This system is for scheduling appointments only. It is NOT for emergency mental health situations.

- Call emergency services: 911
5.1 Nature of Services
- Services are provided by licensed or supervised counseling professionals
- Counseling is voluntary and confidential (with legal exceptions)
- Services are for currently enrolled students only
- Sessions are typically 45-60 minutes in duration
5.2 Limitations
- The system does not provide emergency crisis intervention
- Services are not a substitute for professional medical treatment
- Counselors may refer you to outside specialists when appropriate
- The university does not guarantee specific counseling outcomes
6. Confidentiality and Privacy
6.1 Confidentiality
All counseling communications are confidential, except when:
- There is imminent risk of harm to self or others
- Child abuse or elder abuse is suspected or disclosed
- A court order mandates disclosure
- You provide written authorization for release

7. Intellectual Property
All content, features, and functionality of this system are owned by Panpacific University and are protected by copyright, trademark, and other intellectual property laws. You may not:
- Copy, reproduce, or distribute system content
- Modify or create derivative works
- Use university trademarks or branding without permission
- Extract data or content for commercial purposes
8. System Availability and Maintenance
8.1 Availability
We strive to maintain system availability 24/7, but we do not guarantee uninterrupted access. The system may be temporarily unavailable due to:
- Scheduled maintenance
- System upgrades
- Technical difficulties
- Force majeure events
8.2 Changes to System
We reserve the right to:
- Modify, suspend, or discontinue any feature
- Update system requirements
- Change policies and procedures
- Improve or enhance the system
We will notify users of significant changes whenever possible.
9. Disclaimer of Warranties
THE SYSTEM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. TO THE FULLEST EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, INCLUDING:
- Implied warranties of merchantability or fitness for a particular purpose
- Warranties regarding accuracy, reliability, or completeness
- Warranties that the system will be error-free or secure
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, PANPACIFIC UNIVERSITY SHALL NOT BE LIABLE FOR:
- Indirect, incidental, special, consequential, or punitive damages
- Loss of profits, data, use, or goodwill
- System interruptions or technical failures
- Unauthorized access to your account or information
- Counseling outcomes or decisions made based on counseling services
11. Indemnification
You agree to indemnify and hold harmless Panpacific University, its officers, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising from:
- Your violation of these Terms
- Your use or misuse of the system
- Your violation of any rights of another party
- Any content you submit to the system
12. Governing Law and Dispute Resolution
12.1 Governing Law
These Terms are governed by the laws of the Republic of the Philippines, without regard to conflict of law principles.
12.2 Dispute Resolution
Any disputes arising from these Terms or use of the system shall be resolved through:
- First: Good faith negotiation with the Guidance Center Director
- Second: Mediation through university administrative channels

13. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
14. Entire Agreement
